#1. Is the workshop organized online, on site or will it be hybrid?
The Open Data Science Europe Workshop will be a hybrid event (you can either follow in person and/or online). We hope that by summer, the vaccination campaign will be sufficiently advanced to allow people to attend in person. We plan in any case to broadcast the majority of talks, but please keep in mind that Zoom webinars will allow 100 participants max so we can not guarantee live sessions. The places will be assigned on a first-come-first-serve basis. We will also broadcast on our official Youtube channel, but please be aware that this way, you won’t be able to interact with presenters.
#2. Will presentations be recorded, uploaded and made available on some web platform, like Youtube?
During the workshop all presentations that will be broadcasted on Zoom, will also be broadcasted on our official Youtube channel. Additionally, all recorded presentations will be uploaded on the TIB AV-Portal shortly after the workshop under CC-BY license (with a kind permission by the presenters).
#3. Is the workshop registration, either on site or online, conditioned by submitting an abstract that must be accepted?
The workshop is open to everyone, you can attend in person or you can join the Zoom webinars without submitting an abstract. Please keep in mind that there will be up to 100 places available on Zoom webinars to follow online talks (each talk will require separate registration) and the places will be assigned on a first-come-first-serve basis.
#4. Is it a requirement to be physically present in Wageningen to present my accepted paper or can I do it online as well?
There is no requirement to be physically present in Wageningen to present your paper, you can do it using the Zoom webinar functionality as well, but please, keep in mind that you have to announce it to us before the event of your choice. If you choose to present online you need to have a good quality setup to allow high quality presentation, such as an HD camera, good internet connection. For easy sharing of slides, if case be, we recommend speakers to use Google Slides or similar online presentation tools.
#5. Are accepted papers going to be published in a peer-reviewed publication? Which one? Are there any writing guidelines to follow?
We are planning to publish all accepted papers in a peer-reviewed journal. Check the website for more info in the following weeks.
#6. Who will evaluate my paper submission and what are the criteria considered?
All papers will be evaluated by at least 2 independent evaluators from the Geo-harmonizer project team and the OpenGeoHub Scientific Committee/ keynote speakers. Check the website for more info in the following weeks.
#7. How much time do I have for my presentation? Will there be a Q&A session as well?
You will have 15’ to present and 5’ for Q&A. Please, be time-aware when preparing your slides as all moderators are instructed to respect very strictly the time schedule so that all participants can enjoy a well organized event.
#8. Can I also submit a training proposal?
No, you can only submit an abstract for oral talk or poster. The training sessions that will be held in the first 2 days of the event, 6 and 7th of September, are dedicated to teach participants how to use the developments achieved in the Geo-harmonizer project.
#9. Can the organizers help me with the travel VISA application?
Unfortunately: no. This is a not-for-profit event and there will be no registration fees to participate. The participants are, however, required to handle their own VISA application and cover their travel & accommodation expenses. The organizers will not provide any support with VISA applications nor would be considered responsible for any travel and accommodation arrangements.
#10. What is the selection process for participating in a training session? Do I have to be physically present to participate? If I can participate online, what are the requirements for full engagement on my behalf?
For full engagement, we recommend participants to be physically present for the training sessions, but we plan to broadcast these as well.
#11. What does the scholarship entitle, what requirements do I have to fulfill to be eligible for one?
OpenGeoHub will fund 12 scholarships for PhD and postdoc students, each of a maximum of 1250 Euro. The application process will start in early June when we will publish 15 tasks for you to choose from. Please subscribe for our Twitter channel to receive updates.
The application process has 2 stages: (1) you submit your application in which you present how you plan to solve one or more of the 15 tasks posted on the website and (2) interview with OpenGeoHub. The scholarship is not paid in advance, but only refund the costs after you have delivered what was agreed on. You need to have at least 80% completed 2 weeks before the start of the event).
